Your personal data
Your personal data is processed in accordance with Regulation (EU) No 2018/1725 (1) on the protection of individuals regarding the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data.
Although you can browse through most of the website without giving any information about yourself, in some cases, personal data is required in order to provide services you request.
The data controller of the processing operation is the Head of Unit EISMEA I.01 – EU and place-based Innovation Ecosystems of the European Innovation Council and SMEs Executive Agency (EISMEA).

The legal basis for the processing activities is/are:
-Article 5(1)(a) of Regulation (EU) 2018/1725 because processing is necessary for the performance of a task carried out in the public interest (or in the exercise of official authority vested in the Agency) 2 or
-Article 5(1)(d) of Regulation (EU) 2018/1725 based on your explicit prior consent for your non-mandatory personal data indicated below.
The purposes of this processing are to:

register for the partner search tool, policy discussion groups and capacity building heroes working group

register to physical and virtual events and receive invitations

subscriptions to the I3 Support Facility newsletter

submit online enquiries and consultations requests to the I3 Support Facility team.
The following of your personal data are collected depending on the service requested:

for registration to the I3 partner search: identification via EU login is required, including your name, e-mail address, job title, organisation/company name, country, region.

for registration to the policy discussion groups and capacity building heroes working group: name, e-mail address, organisation/company name, country, region and curriculum vitae.

for subscription to the I3Support Facility newsletter: your name, e-mail address, organisation/company name, country, region, (see more details below).

for registration to physical events: your name, e-mail address, organisation/company name, country, region (see more details below).

for registration to virtual events: your name, e-mail address, organisation/company name, country, region, (see more details below).

for online consultations: your name, e-mail address, organisation/company name, country, region.
All personal data are mandatory for the purpose(s) outlined above.
In addition, the following non-mandatory personal data may be collected based on your explicit prior consent:

your image/voice for recordings for physical and virtual events

your dietary or accessibility constraints for logistic purposes for events

cookies to allow you to browse our website (see more details below).
The recipients of your personal data will or may be disclosed to authorised EISMEA/Commission staff and authorised staff of contractors in charge of this project. In addition, persons registered in the I3 partner search will get access to the name, e-mail address, job title, organisation/company name, country, region of members also registered.
Under certain conditions outlined in law, we may disclose your personal data to bodies in charge of monitoring or inspection tasks in application of Union or national law, (such as the internal audit service, the European Anti-Fraud Office (OLAF), the European Court of Auditors (ECA), the European Public Prosecutor’s Office (EPPO) or law enforcement authorities).
Your personal data will not be transferred to third countries or international organisations.
The processing of your data will not include automated decision-making (such as profiling).
Your personal data will be kept for a maximum period of 26 months from September 2025 to November 2027. Data will be manually deleted at the end of this period.
Your rights
You have the right to access your personal data and to request your personal data to be rectified, if the data is inaccurate or incomplete; where applicable, you have the right to request restriction or to object to processing, to request a copy or erasure of your personal data held by the data controller. If processing is based on your consent, you have the right to withdraw your consent at any time, without affecting the lawfulness of the processing based on your consent before its withdrawal.
Your request to exercise one of the above rights will be dealt with without undue delay and within one month.
Your right to information, access, rectification, erasure, restriction or objection to processing, communication of a personal data breach of confidentiality of electronic communications may be restricted only under certain specific conditions as set out in the applicable Restriction Decision in accordance with Article 25 of Regulation (EU) 2018/1725.

Registration to the Newsletter
To subscribe to the I3 Support Facility newsletter, you have to provide email address where you wish to receive them in addition your name, organisation/company name, country and region.
EISMEA keeps only the current state of data. No history is saved. Each change of your subscription erases instantly previous data; this includes also cancelling your subscriptions. You can unsubscribe anytime by clicking on the 'unsubscribe' link available in the footer of each individual newsletter.
Registration to physical and virtual events
The use of personal data for the I3 Support Facility events will be provided by a separate, specific data protection note.
Expression of Interest to join the Policy Discussion Groups
To express your interest in joining the I3 Support Facility Policy Discussion Groups, you will be asked to provide your name, surname, email address, country, region, company or organisation, type of organisation, number of years of work experience, type of relevant experience, countries in which you have expertise, information on whether you are affiliated to an I3 project, and your curriculum vitae. The I3 Support Facility keeps only the current version of your data and no history is stored. Any update you make replaces the previous information immediately, including withdrawal of your expression of interest. You may withdraw your participation at any time by contacting the I3 Support Facility team.
